Festival Volunteer Coordinator Needed!

 

Planet in Focus
International Environmental Film & Video Festival
October 13th to 17th, 2010

 

Job description:

Planet in Focus International Environmental Film & Video Festival is hiring a volunteer coordinator to implement and oversee the scheduling of volunteers during and leading up to our annual film festival in October. The successful candidate will ensure the smooth operation of all volunteer positions during the festival.

Reporting to the PIF administrative coordinator, the volunteer coordinator will schedule all volunteers for the festival including, but not limited to, volunteers for venues, drivers, movers, office, and translators.

Responsibilities:

• The Coordinator will be responsible for distributing and collecting the volunteer availability forms and scheduling volunteers into their requested positions
• The Coordinator will be required to schedule for all of the required volunteer positions
• The Coordinator will be responsible for ensuring volunteer attendance and filling positions with back up as necessary.
• The coordinator will effectively manage a team of 150 volunteers across several venues with the help of venue coordinators and festival management.
• The coordinator will assist with the supervision of the daily box office reconciliations.
• The coordinator will be available to work the entire week from October 12th to 17th, 2010 from the beginning of the day's scheduled films to the closing of the box office in the evening.

Required Skills:

• Experience supervising staff or volunteers
• Strong organizational and multi-tasking skills
• Strong communication skills both verbal and written
• Strong customer service skills—being personable and approachable is important
• Ability to prioritize tasks and deal with issues that arise quickly and efficiently
• Microsoft Excel and Office experience
• A Cell Phone (All PIF related calls will be reimbursed)
• A valid drivers license

This is a part-time position from late August through September, and full-time during the festival. The position will begin in late August to start festival outreach and plotting together a schedule. This work can be done from home or the coordinator may use the PIF office. The volunteer coordinator will use the current Planet in Focus volunteer list and also send out calls for additional volunteers if necessary.

The coordinator will ensure that all necessary materials are accessible to the on-site box office and volunteers. If there are any materials required he or she must communicate to the festival manager or venue coordinator for replenishment.

There will be two volunteer orientation sessions to acquaint the volunteers with the festival and volunteer positions. The coordinator will be expected to attend and help facilitate the orientation sessions.

The position is paid an honorarium of $750.00. Please note that the coordinator will be reimbursed for all meals and pre-approved expenses throughout the week of the festival and will be provided with additional festival perks wherever possible.
